1. Purpose of This Policy 

This Privacy Policy explains how My Heal Club (“we,” “our,” “us”) collects, uses, and protects the information provided by holistic practitioners. 

It applies only to practitioners — not general users or clients. 

By applying or maintaining a profile, you agree to this Policy. 

2. Information We Collect From Practitioners

● Email 

● Phone/WhatsApp (optional) 

● Location 

● Languages 

● Profile photo 

● Biography 

● Professional background 

● Certifications 

● Modalities 

● Session format (online/in-person) 

● Pricing 

● Booking links 

● Payment details for invoicing (if needed) 

● Any other information you voluntarily provide 

B. Referral Tracking Data 

We collect UTM-based analytics: 

● Referral clicks 

● Number of users sent to your booking links 

● Monthly referral counts 

● Sessions booked from referral traffic 

We do not collect client names or payment details. 

C. Automatically Collected Data 

● IP address 

● Browser/device type 

● Region 

● Cookies for analytics 

3. How We Use Practitioner Information 

We use your data to: 

● Review applications 

● Verify your identity and offerings 

● Create and display your practitioner profile 

● Track referral performance 

● Generate monthly referral reports 

● Invoice referral fees (10% starting in May 2026) 

● Communicate updates, changes, or requests 

● Improve the platform’s user experience 

We never sell your data. 

4. Legal Basis for Processing 

We process your data under:

You may withdraw consent anytime. 

5. Storage & Security 

Your data is stored securely using: 

● Password-protected systems

● Limited access (founder + essential admin only) 

Tools used may include Google Workspace, Notion, Webflow, Typeform, analytics tools, and secure email. 

6. Sharing of Practitioner Data 

We only share your data with: 

● Platform service providers 

● Analytics tools 

● Payment processors (for referral invoicing) 

● Legal authorities if required 

We do not sell or rent personal data. 

7. Practitioner Profile Content 

By joining, you authorize My Heal Club to: 

● Display your photo, bio, and modalities 

● Publish your booking links 

● Translate portions of your profile (when necessary) 

● Feature your services in categories and collections 

You may request edits anytime. 

7A. Use of Public Practitioner Content (Social Media, Testimonials, Online Information) 

By joining My Heal Club, you grant permission for us to: 

● Repost or share your public social media content, such as posts, reels, stories, or captions 

● Share testimonials, reviews, or quotes already publicly available online 

● Highlight educational or inspirational content you publish 

● Feature your content across our website, social media, newsletters, or marketing materials 

We will always give full credit when sharing your content. 

We will never share: 

● Private or locked account content 

● Private messages 

● Confidential client information 

● Misleading edits of your work

8. Referral Tracking 

We assign unique UTM-coded links to your booking URLs to track: 

● Page visits 

● Leads referred 

● Bookings generated via My Heal Club 

This data is used solely for calculating referral fees (10% starting in May 2026). 

9. Payment & Invoicing 

Starting in May 2026: 

● You will be invoiced 10% of sessions booked via My Heal Club referrals 

● Referral counts are based on UTM analytics and booking information provided by you 

● Invoices must be paid within the stated period 

● Missing or late payments may result in profile suspension or removal 

10. Your Rights 

You may: 

● Access your data 

● Update your data 

● Request deletion 

● Request profile removal 

● Request a copy of your data 

● Withdraw consent

11. Data Retention 

We retain practitioner information: 

● As long as you remain active 

● Up to 12 months after removal for administrative purposes 

● Longer if legally required 

● Upon removal, your profile is deleted and tracking disabled. 

12. Third-Party Links 

Your booking links lead to external sites which have their own privacy policies. 

We are not responsible for external platform practices. 

13. Changes to This Policy 

We may update this policy periodically. 

Updates will be reflected in the “Last Updated” date. 

Major changes may be communicated via email.
